Job Title: Records / Admin Assistant

Our client, a well-established law firm in London, is seeking a records assistant to join their operations team. This opportunity would suit someone with at least six months’ experience in an office environment who is organised, dependable, and looking to build their skills within a professional services setting.

The role centres on supporting the firm’s records function while also helping with general office operations where needed. You will assist with preparing files for storage, ensuring items are accurately recorded within internal systems, and helping with periodic checks so materials remain correctly logged and compliant with firm procedures. You will also process requests for files to be retrieved, liaising with storage providers and monitoring requests through to completion.

You will help colleagues locate physical records and provide straightforward guidance on how to request files or follow correct storage and retention practices. Working within established information governance procedures, you will support activities such as file reviews, scanning projects, and authorised destruction processes, and raise any inconsistencies appropriately.

In addition to records work, the role includes supporting the smooth day-to-day running of the office. This could involve preparing meeting rooms, handling incoming mail and deliveries, restocking supplies, and assisting with general office organisation. You may also help report maintenance issues, coordinate contractor visits, and provide extra administrative support during busy periods or firm events.

The firm is looking for someone who works carefully and methodically, communicates in a professional and helpful way, and is comfortable handling both physical files and digital systems. You should be able to follow procedures consistently, manage routine tasks reliably, and contribute positively within a team environment. Experience gained in a legal or professional services setting, familiarity with document or records systems, or an awareness of data protection principles would be advantageous but is not essential. Training will be provided if necessary.
